By agreeing to our Terms and Conditions you also agree to our Code of Conduct and EDI Policy and agree to fully read the online material published for the event you intend to play which includes the mandatory “Brief” and “Mechanics” pages.

Live action events are meant to provide an intense and incredible immersive experience. To achieve that, events must be conducted in an atmosphere of trust. We hope these guidelines are straightforward and easy to understand.

The Terms and Conditions and our Code of Conduct cover all Orion Games events, and outlines the expected conduct for all our participants. Orion Games reserves the right to deny service or expel any participant for any reason at any time, and this list is not meant to be comprehensive.

Accepting our Terms and Conditions means the acceptance of these Terms and Conditions, our Code of Conduct, our EDI Policy and all of the specific conditions of the event that a ticket is purchased for, including its online material and game mechanics as published on the Website for that event.

Definitions

The words of which the initial letter is capitalized have meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.

  • Company (referred to as either "the Company", "We", "Us" or "Our" in these Terms and Conditions) refers to Orion Games Ltd.

  • You refers to the individual accessing the event or services created by Orion Games Ltd.

  • For Our event named "Giovanni The Last Supper" (also known as "Giovanni: The Last Supper"; or "Giovanni TLS" or "TLS" or "GTLS") the Website refers to www.thechildrenofthesun.com

  • The Participant of the event is every adult person who has beforehand signed up through the Website, has been accepted as a potential participant by the Company, has paid for their ticket either in full or with a minimum of a £100 instalment (unless a reduction has otherwise been explicitly granted by Us in writing), has accepted these Terms and Conditions, accepted our Code of Conduct, and accepted our EDI Policy, as well as any other reasonable provisions necessary to take part in the event. After which point we will contact the Participant personally (via the email they provided us in their sign up form when they signed up to Our event on the relevant website), to inform them that they are now “confirmed for play” and may attend the desired event. We endeavour to do so in reasonable time after the expected money of their ticket in GBP (partial as in the case of a single instalment or at full price) has arrived with Us in Our bank, and after we have had time to process the collective admin for any remaining potential participants who are paying by the first instalment deadline. We endeavor to do this within one month of receipt of their payment in Our bank, since we only have one person handling this side of the Company we reserve the right to request more time should it be necessary. Participants will be informed if this is the case.  

  • LARP refers to Live Action Role Play, or Live Action Roleplay, sometimes referred to as immersive or interactive theatre. It is a collaborative fictional experience for adults who each take on the role of a character (created or adapted by Us) which each adult plays in a fictional setting as created or adapted by Us, in designated theatrical spaces set aside for this purpose with specific safety mechanics and rules to govern all Participants’ conduct in play. Participation  in  any  of  those elements is voluntary and depends on the uncoerced will of the Participant.

  • OOC means Out of Character, which can refer but is not limited to spaces that are kept aside where no roleplay is permitted to occur in; the behaviour and conduct of the Participant that occurs outside of the in-game hours when they are no longer playing the role of their character; any time the Participant physically leaves the in-game spaces; any time the Participant pauses their character roleplay using the safety mechanics, such as to negotiate a scene’s progression or safety with another Participant

  • IC means In Character, which can refer but is not limited to spaces that are designated as the theatrical stage upon and through which Participants play the game as their characters; the behaviour and conduct of the Participant while in the role of their theatrical character; any time the Participant renters play by physically entering the designated in-game theatrical spaces.

  • The Property refers to the venue we are hiring or otherwise using for our event. It includes the chosen venue’s grounds. 

Right to Remove or Ban Participants

To foster a safe and comfortable environment for all our Participants Orion Games reserves the right to remove or ban any Participant or service user from any of Our events at any time for any reason. This includes expelling You from Our online platforms. We will endeavor to show good judgment and fairness in applying this rule to create a better space for Our Participants, but it must be said – We will remove or block people We feel are not fit for our events. Guidance for Participant behaviour can be found in our Code of Conduct but we are not limited to the terms details within this Code.

Expected Behaviour

Here are our expectations for You when you are at Our events. We also expect Participants to be familiar with and adhere to our Terms and Conditions, our Code of Conduct, our EDI Policy and any published material on Our Website as is relevant to the event, especially our “Brief” and “Mechanics” pages which are always mandatory reading for any Participant. In agreeing to these Terms and Conditions you confirm that you have read and agree to this material.

 Be excellent to each other

We are dedicated to making Orion Games Ltd. events into safe and inclusive communities. To create such a community, We all have to care about each other’s enjoyment and we have to collaborate in order to create fun, immersive and safe LARPs together. 

We have a detailed Code of Conduct which We require all Participants to read and follow. We believe that the only way to foster a nurturing and positive environment for Our Participants is to be clear and transparent with Our Company’s expectations. 

Our Code of Conduct includes but is not limited to Our policies on discrimination, bullying and harassment. Our Terms and Conditions detail additional rules, expectations and guidelines for participating in Orion Games Ltd. events.

We expect all Participants to be familiar with and agree to our Terms and Conditions, EDI Policy and our Code of Conduct and we reserve the right to remove or block any Participant, potential or hopeful participant or user from any event or our online platforms if they are deemed to be in violation of either the Terms and Conditions, our EDI Policy or our Code of Conduct.

These measures are in place for the betterment of our gaming and theatrical community and the safety and enjoyment of Our Participants and we appreciate your dedication to helping us create safer spaces by familiarising yourself with these documents.

Follow all event policies and venue rules.

Each event will have its own rules outlined on its website, covered in its workshops and/or declared in its participant’s briefs. Ignorance of said rules is not an excuse for violating them.

Do not violate any rules or signage put up by our host venue/s.

Obey the staff and inform them of any concerns.

Event staff will be made identifiable to all participants before the commencement of any Orion Games Ltd. event. All participants are expected to attend mandatory briefings and read mandatory material provided to them in part to make them familiar with staff members and event organisers. 

If you have any issues, approach any staff member and they will take steps to resolve it.

Prepare for included content.

Orion Games Ltd. events are immersive experiences that can be very intense. They can deal with dark or emotionally provocative subject matter; or strange environments. We expect every Participant to be familiar with mandatory briefing material in order to make them aware of content warnings and consent mechanics for engaging with said content. 

We expect all Participants to be familiar with event content and We cannot be held responsible for the enjoyment of any Participant or service user who is unhappy with content that has been stated as being included in event material prior to the commencement of the event.

Obey content limits

There may be elements We have decided do not have a place in an event. These limits will be posted with each event. The writers will not include these elements, and Participants are forbidden from introducing them on their own.

Prevent and abstain from harassment and bullying

Participants must be familiar with Our Code of Conduct policies on Harassment and Bullying and should expect violations of Our Code of Conduct on these issues to be taken seriously.

Respect consent

Our games can involve physical contact. They can also involve simulated violence and simulated romance. In all these cases, we expect all Participants to respect the consent of others. 

Mechanics and guidance for engaging in any physical contact or simulated violence or romance will be provided in mandatory briefings, workshop and reading material. Ignorance of rules and mechanics in place to champion consent and autonomy at Our events is not an excuse for the breach of any Participant’s consent.

In addition, at all social events, workshops and the like, You will respect the autonomy of others and practice proper consent and safety. 

In Character Boundaries Are Not Out of Character Boundaries

Participants must never assume that the boundaries and expression or withdrawal of consent by any other participant ‘in-character’ is indicative of their personal, ‘out-of-character’ boundaries and expressions or withdrawal of consent. You must always respect a Participant’s Out of Character wishes and boundaries no matter what the character they are playing has exhibited in behaviour, simulated theatrics or roleplayed dialogue.

The content You wish to engage in is firmly under Your control as a Participant. Rules for consent to physical contact, opting out and prior negotiation apply to all physical and simulated content.

Any breaches of consent are considered a breach of our Terms and Conditions and our Code of Conduct on Harassment and Bullying. We reserve the right to inform the police if any breaches of consent violate UK law.

Stay in character wherever safe and possible

Your staff and fellow participants will be working hard to create an immersive environment. Respect their efforts by remaining in character when occupying in-game spaces, outside of mechanics use, signals and out of character negotiation.

Use technology responsibly and within the limits designated by the event in order to contribute to the immersive environment of our events.

Use of mobile phones in in-game spaces may or may not be allowed at each event depending on the in-character setting of the event

Do not perform dangerous acts

Do not engage in physically unsafe acts that run the risk of injuring yourself or others – with or without consent. Orion Games Ltd. cannot accept any responsibility for personal damages or injuries as detailed in our Limitation and Release of Liability. 

Abide by the Drugs and Alcohol Code of Conduct

We expect all participants to abide by our Code of Conduct and Terms and Conditions on Drugs and Alcohol and we reserve the right to remove participants from events for violations of this policy as outlined in our Code of Conduct.

Use safe weapon props only

No real weapons are allowed at our events. Each event will have its own weapon rules. Simulated weapons must be of prop quality and realism, but contact safe (e.g. latex boffer knives). Do not use weapon props on anyone without their consent.

We do not allow simulated guns or firearms at our events even if they are of prop quality and contact safe.

Terms of Participation

The Participant of the event must be at least 18 years old on the day they submit their sign up form for the event they intend to play.

It is the responsibility of the Participant to ensure that the email they have supplied us is up to date and that they can receive correspondence from Us to it. In the case of Giovanni The Last Supper they should be easily able to receive an email from inquiries@thechildrenofthesun.com

We open a sign up page on the relevant website for any event We run where potential participants can apply in the hope that they may be accepted to attend the event. If a person is accepted they are invited to pay for their ticket. After this acceptance has been made by Us, and after payment has been received of their ticket monies in Our bank, we will contact the new Participant to confirm them for play. They may then attend the desired, purchased event.

We offer either a Pay In Full option for the event’s ticket, or we offer the costs split over set instalments, OR we allow players to contact us to create a custom sum to pay off. Such as in the cases where someone has paid one or two instalments of £100 but suddenly wants to pay off the rest, we permit this and create a private link on the Website to let them. We do this in the hopes of making our events more financially accessible for Our Participants.

Apart from the experience which is a multi-night, fully catered one, we also give each Participant a unique "Player Brief" which is a summary of the character they will play, the life of the character and in most cases, a reason why the character is at the event. In some cases it is a fictional narrative. The Participant does in no way purchase this material; We own this material and reserve the right to reuse it for later events We run or create.

The original material and narrative fiction of every “Personal Brief” as provided to any Participant in advance of the event is Our intellectual property and We do not provide permission to reuse it or republish it in any way. Portions of the materials are the copyrights and trademarks of Paradox Interactive AB, and are used with permission. All rights reserved. Our events are private and hosted in privately hired property; only those Participants registered for the event and whose sign-up has been accepted by Us and their place later confirmed in email correspondence by Us as being “confirmed for play”, following payment, can participate in the run of the event they have specifically signed up for.

Rights and Obligations

  1. The Participant has the right to attend the event they have been confirmed to play at.

  2. The Participant must abide by Our specific event safety and calibration mechanics, Code of Conduct, Terms of Conditions and EDI Policy. Any such breach of these elements may result in the Participant having their right to attend the event revoked.

  3. The Participant has the right to resign from attending the event they have been confirmed to play at as well as resign during the event without a right to receive a refund.

  4. The Participant has a right to stay and sleep in the hired location during the event.

  5. The Participant must act lawfully – no Participant or user of our services should act in any way that could be unlawful or encourage others to act unlawfully. The Participant must never violate the British law or not adhere to its Regulations or they may be excluded from the game and have their Participant status revoked.

  6. The Participant must act responsibly – no Participant or user of our services should undertake OOC actions that are harassing, defamatory, threatening, obscene, abusive, racist, sexist, transphobic, offensive or otherwise objectionable or inappropriate.

  7. We do not accept liability for any loss or damage caused to any property and personal effects belonging to You, unless it is as a result of negligence on the part of Us and such damage or loss was reasonably foreseeable.

  8. You will be liable for any damage caused to The Property as a result of negligence by You.

  9. The  Participant  is  obliged  to  cover  the  cost  of  any  damages  caused  due to their actions.

  10. The  Participant  is  obliged  to  follow  Our instructions or the instructions of the people appointed by Us as fellow organisers during the event.

  11. The Participant is aware that the activities of the event may require mental toughness and a good ability to stay in the role of the character for many hours, up to twelve hours at a time, though breaks are always permitted and the Participant may remove themselves discreetly and physically from the designated game spaces to escape into a designated off game or OOC space. 

  12. The Participant is aware that the event might lead to physical, mental or emotional damage.

  13. It is the responsibility of the Participant to inform Us or Our designated organisers of any unlawful activity in another Participant or a service user that would breach any of our Terms and Conditions, Code of Conduct, EDI Policy or Governing Country Laws.

  14. It is the responsibility of the Participant to provide Us any constructive or negative feedback so that we might attempt to resolve an issue or complaint first for which We are responsible.

  15. The Participant has no right to coerce, force or knowingly manipulate the free will of another Participant into entering any roleplay, IC or OOC situation, interaction or scene. Doing so may revoke the offending Participant’s right to play and continue to attend the event.

  16. The Participant is not to push their physical health; they must sleep, eat and hydrate sufficiently. They must take breaks from their character and their roleplay when they need or desire to.

  17. The Participant decides whether their health status, physical, mental or emotional condition or other factors allow them to participate in the event or its elements.

  18. The Participant must not hide any factors concerning their health which might have an impact on  their  participation in  the  event and  enable Us to  take  necessary steps to help if the need arises.

  19. The Participant is aware that this is a fictional game for adults and as such mature themes may be explored in the space around them during the in-game hours in the designated IC game spaces both in the theatrical simulations of the Participants and raised at any point in the dialogue between characters played by themselves or other Participants. The Participant agrees to take no grievance or complaint with another Participant or Us for any and all exploration of the stated themes as outlined in Our Website when they are explored, roleplayed or theatrically enacted during the IC game hours in Our designated IC game spaces.

  20. The Participant has the right to remove themselves from any IC roleplay or IC scene, space or interaction at any point. The Participant does not have the right to oblige any other Participant to do the same.

  21. Participating in LARPs and Our events entails a risk of unforeseeable conditions that may lead to a damage of Participant or service user property, physical damage, injury or even  death,  as  well  as  lead  to  a  mood  deterioration  or  intensification of mental conditions. Keeping in mind the above, the Participant is aware that participation in the event and LARP is voluntary and is done on one’s own free will.

  22. The Participant may use LARP-safe weapons that have an attest from reputable LARP weapon sellers whose weapons are safety checked, or which have been presented to Us and accepted by Us before the event begins. Under no circumstances may Participants bring or use real weapons of any kind.

  23. The Participant is not permitted to touch any of the live fires or flames during the event; We have hired staff who are employees of The Property to tend to the fireplaces indoors and the fire pits outdoors.

  24. The Participant has a right to report to Us any problems encountered during Our event.

  25. The Participant is aware that all bedrooms are an accessible space during roleplay in-game hours from 3pm to 3am and should themselves secure their belongings with padlocks or other such devices on their suitcases. We take no responsibility for any loss or damage to a Participant's personal belongings. We do have a locking safe where small items such as passports or wallets may be stored for any Participant, but we take no responsibility for these items in or out of the safe.

  26. Participants are aware that this is a collaborative, communal experience and all rooms are shared with at least one other Participant, and some beds may be shared with another Participant who may be of any gender, though we make reasonable adjustments to room Participants with their chosen gender and/or with their friends. We send out a form requesting gender and friend preferences for lodging for this purpose.

  27. The  Participant  is  obliged  to  behave  in  a  rational  way,  without  posing  a  danger  to themselves  or  others,  and  exercise  caution  especially  when  navigating doorways and stairs.

  28. The Participant is obliged to inform us of any props they might wish to bring to the event so we can make a reasonable decision as to whether we want it at the event. This is especially true or potential hazards.

  29. The Participant should remain courteous to Our staff and game organisers at all times. Failure to do so may lead to the Participant or service user being asked to leave the site and event without a refund.

  30. We cannot take responsibility or pay compensation if We cancel or change an event or Our services in any way because of events beyond our control. Neither can we accept any liability for any injury, loss or damage You suffer because of events beyond Our control. Some of the things We mean by ‘events beyond our control’ include but are not limited to fire, flood, explosion, storm or other weather damage, break-in, criminal damage, riots or civil strife, industrial action, natural or nuclear disaster, epidemics and pandemics, adverse weather conditions, war or threat of war, actual or threatened terrorist activity and unavoidable technical problems with transport.

  31. We are obliged to facilitate the best possible service to make Our event safe and comfortable for other Participants and Our team and in doing so we may remove, expel, ban or other revoke the Participant status of anyone attending Our events for any reason.

  32. Although We may offer to organise the option of Participants paying for a private hire bus to and from the event for the convenience of Participants We take no responsibility for anything going wrong with such transport, including but not limited to any damages, injury, stress and losses incurred or faced by those aboard it or using such a service.

  33. We do not provide an insurance against unfortunate accidents.

  34. We are not responsible for damage done to the Participant's body or mental well-being during events or in connection to Our Company and online platforms.

Validity of terms

If a court or a similar organisation questioned any of these terms, the rest of the agreement would still be valid. It would also still be valid if We allowed You to do something that We would not normally allow under the agreement.

Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the law of England and the parties hereby submit to the exclusive jurisdiction of the English courts. Your use of our services and events may also be subject to other local, state, national, or international laws.

Smoking and Drugs

There is to be no smoking of vaporisers, e-cigarettes and tobacco in the indoor spaces of The Property or in any of the event accommodation and we do our best to make sure Participants do not smoke in these areas. This includes smoking of any of the above near open doorways or windows that lead to internal spaces in The Property. We do have outdoor smoking areas, and We will designate these and inform Participants of them during our in person briefings at the event.

We have a zero-tolerance policy on illegal drugs. If You take or are in possession of illegal drugs or any other illegal substance, We will ask you to leave the event without refund. This includes cannabis.

Alcohol

To ensure the safety, well-being and enjoyment of all of Our Participants, the Participant is  forbidden  to  enter  such a  state  of  alcoholic  intoxication  that  could cause danger to themselves or other Participants of the event as well as lead to them becoming a nuisance to other Participants. It is at Our absolute discretion and the discretion of Our designated organisers to determine when Your behaviour and the behaviour of any Participant or service user has been impacted too negatively by intoxication for Us to permit You or they to continue play. We reserve the right to ask any such over-intoxicated Participant to leave the premise to sober up, or if We deem the behaviour too damaging to risk a continuity of, We will revoke the Participant's Participant status and they will need to leave the event without receiving a refund for their ticket.

Sex Offenders

We do not knowingly allow any Participant or service user to attend our events or use our services that: (i) has an unspent criminal conviction; (ii) has an entry on the the sex offenders’ register; (iii) is a convicted sex offender, subject to the notification requirements of the Sexual Offences Act 2003; or (iv) is subject to a Risk of Sexual Harm Order or Child Abduction Notice. If You do not disclose this information about Yourself, and it later becomes known to Us, We reserve the right to revoke Your right to attend Our event without refund.

Disputes Resolution

If You have any concern or dispute about the Company, the events we organise or Our services, You agree to first try to resolve the dispute informally by contacting the Company.

Severability

If any provision of these Terms is held to be unenforceable or invalid, such provision will be changed and interpreted to accomplish the objectives of such provision to the greatest extent possible under applicable law and the remaining provisions will continue in full force and effect.

Waiver

See further below.

Behaviour Note

To ensure that a safe and secure environment is provided for all Participants and Our team members, We ask that You please show consideration to others and treat people and Our hired facilities with respect at all times. If You come to the event and do any of the below (or We reasonably suspect You have done or might do any of the below), we’ll tell you to leave the venue immediately, with no refund.

No Participant is allowed to:

  • Take part in any illegal behaviour.

  • Take part in any unruly or excessive behaviour OOC, be that in any game spaces or on our online platforms.

  • Be disrespectful and impolite to Us or to other Participants OOC in such a manner that would breach our Code of Conduct or EDI Policy.

  • Carry out any antisocial behaviour (including excessive noise) OOC or in the OOC spaces or when negotiating scenes in the IC spaces when your roleplay and character play has paused.

  • Bring any firearm, fireworks, illegal substances, offensive weapons, hazardous chemicals or any similar item to the Property.

These are standards that we expect from You from the moment You contact Us, throughout the sign-up and character creation process, during the event itself, and during any post-event communications.

Changes to These Terms and Conditions

We reserve the right, at Our sole discretion, to modify or replace these Terms and Conditions, Our Code of Conduct, and Our EDI Policy at any time. If a revision is material We will make reasonable efforts to provide at least 14 days' notice prior to any new terms taking effect. What constitutes a material change will be determined at Our sole discretion.

By continuing to access or use Our services and events after those revisions become effective, You agree to be bound by the revised terms. If these changes occur for an event you are attending after you have purchased your ticket and been confirmed to play, and You do not agree to the new terms, in whole or in part, You must contact us at inquiries@thechildrenofthesun.com as We may be able to issue a refund. This is the exception to Our policy on not issuing refunds.

Participant Safety

Safety Tools and Mechanics

Orion Games Ltd. is committed to providing a splendid environment where it is safe to explore emotional and deep topics. All events will have safety demonstrations and workshops, outlining the tools and Mechanics being used. Please make use of them liberally, and stigmatizing their use will result in disciplinary action.

When There is a Conflict Between Participants

If you feel uncomfortable or that another participant is behaving inappropriately, we ask but do not demand that our players assume good faith and ask the other player to cease their behaviour. If you are uncomfortable with this, we will speak to them on your behalf.

We understand that participants may not realise that their behaviour is negatively affecting another participant, and we will take each participant’s version of events into account when mediating between parties. We produce games where participants come from many walks of life and many cultures; what is polite etiquette in one country might be rude in another. Please take the benefit of the doubt where possible.

In the result that no Codes of Conduct or Terms and Conditions were violated and that both parties are able to come to an amicable understanding in good faith, disciplinary action may not be deemed necessary by Us if all Participants concerned agree.

In the case that We decide that Codes of Conduct and/or Terms and Conditions have been violated, We reserve the right to make a final decision on any disciplinary action. We also reserve the final right to decide if mediation on any conflict between participants has resulted in a satisfactory resolution of the conflict. 

If you are informed that Your behaviour is out of line or making others feel uncomfortable, once again, We expect You to assume good faith and to correct Your behaviour in line with Our expectations.

Interpersonal disagreements in the absence of any violations of Code of Conduct or Terms and Conditions may occur and we expect Participants to endeavour to resolve them in good faith with Our help and guidance if necessary and requested.

In the instance that Participants are unable to resolve a personal conflict that does not violate our Code of Conduct or Terms and conditions, We reserve the right to suspend or remove all the Participants in question if We believe that their disagreement may negatively impact the experience of other uninvolved Participants. Such Participants may have their Participation status revoked if We feel that their arguments, disagreements or personal grievances may negatively impact too many Participants. We are committed to fostering a safe but also comforting environment for the majority of Our Participants.

If a conflict is not resolved or You do not wish to deal with it directly, contact a member of Our team for the event as soon as possible. See the Reporting Concerns or Incidents section below.

Reporting Concerns or Incidents

If any safety concerns involve an actual crime, violence or the serious possibility of criminal activity, contact the police first and foremost. In the event of an emergency or crime in progress, call 999 immediately.

Before or After an Event

If you have prior knowledge about the behavior and history of a possible participant in an event or have an incident to report after an event is done, contact Us at inquires@thechildrenofthesun.com

Reports can be requested to be kept confidential unless We believe there is a risk of serious harm to an individual or group of individuals, or if We have reason to believe that a law is being broken, as our country dictates.

Please include as many details as you have available and are comfortable sharing. We encourage you to include the sources of your information but we understand if you must remove some names or sources.

We ask that you do not engage in any public confrontations or make any statements on social media or in person until We have had a chance to address the situation.

During an Event

Seek out a member of staff, or a player representative on the staff. They will contact the appropriate staff members; gather information and evidence; and intervene if necessary.

Do not seek to correct the situation yourself beyond the ‘good faith’ of asking them to cease outlined above.

Again, if there is an actual crime or emergency occurring, call 999 first and foremost. Do not wait to contact staff.

Staff Actions

If the staff feels it is warranted and the issue is minor, the staff will intervene in a situation politely once and only once. If a second complaint occurs or the issue is severe, they will ask both sides for their account of the incident, along with any third parties involved. Depending on the severity of the alleged event, one or all of those involved may be removed from the event until it is resolved.

The staff will also take into account patterns of similar behavior toward other players in their judgment.

Disciplinary actions taken may include:

  • Warning: In the case of a first minor incident, a warning will likely be issued. No one is entitled to a warning, but the staff may prefer to issue one. But no more than one warning for the same or similar behaviour should ever be issued – after that, it is time for more decisive action.

  • Removal: The participant is removed from the event and must leave the event site. They must receive permission before attending any other Orion Games Ltd. events.

  • Ban: A player is banned permanently from all Orion Games Ltd. events

Refunds for event tickets will be issued at the absolute discretion of the staff. Donations and any other contributions of money or material to the event will not be refunded or returned. We hold no responsibility to supply refunds especially in the case of breaches in Our Terms and Conditions, Our Code of Conduct, Our EDI Policy or Our required reading that Participants must adhere to studying, such as our “Brief” and “Mechanics” pages.

Harassment Policy

Harassment, bullying and personal attacks are forbidden at events by Orion Games Ltd. Participants who engage in these attacks, or are noticeably and publicly doing so in other online or real world spaces are subject to disciplinary actions and warnings including termination of access to our events as outlined in our Terms and Conditions. 

We expect all Participants to adhere to our Harassment and Bullying Policy outlines in our Code of Conduct.

By purchasing a ticket to an Orion Games Ltd. event, you acknowledge and agree that: the game site and any services, implied or explicit, are provided on an “as is” or “as available” basis; that Orion Games Ltd. and any partners make no guarantees, warranties, representations or conditions of any kind, whether express or implied, including but not limited to warranties of fitness for particular purposes and non-infringement; and that any such warranties and guarantees are hereby expressly disclaimed;

You acknowledge and agree that Orion Games Ltd. specifically makes no warranties that it or any of its events and services, including any content, information, products or services obtained through the use of this site, other event-related sites or any of the services provided will be provided in an uninterrupted or error-free manner or that such services or results from such services will meet your requirements or expectations. You acknowledge and agree that Orion Games Ltd. will make a good faith effort to meet reasonable expectations.

You acknowledge and agree that disruptive behaviour, violation of safety policies or game mechanics, previous unwelcome behaviours or other activities that are detrimental to the execution of the event will be considered grounds for your removal or banning from the event without a refund.

Refunds, Resales or Exchanges

Due to the limits of site rental and time, refund policies may vary from event to event. Unless otherwise specified for the event, tickets are non-refundable and non-transferable without permission from Orion Games Ltd.

For Giovanni The Last Supper with our permission we allow Participants to transfer their ticket to another potential participant and themselves seek financial reimbursement should they choose to request money, the amount to be agreed on between the Participant transferring their ticket and the recipient of the ticket’s transfer. We take no responsibility for this process. We must willingly accept the new participant to Our event and the remaining Participants on that event must be comfortable attending with them and the new participant must also agree to the same Terms and Conditions, Code of Conduct, EDI Policy and all relevant material for that event including but not limited to the “Brief” and “Mechanics” for safe play as listed on the Website. It is advised that the transfer of the ticket be made, including any payment paid to the previous holder of the ticket, only after we have agreed to take on the new participant to the event. We assume no responsibility for any loss or damage incurred through the transfer of a ticket. It is entirely the responsibility of the Participant hoping to transfer their ticket.

Event Scheduling

Rain or Shine

Unless otherwise specified or determined by Orion Games Ltd. or their partners, all events are considered RAIN or SHINE. No refunds will be given due to inclement weather.

Cancelled or Postponed Events

Events can be cancelled or postponed by Orion Games Ltd., our venue or our partners. Should this occur, we will attempt to contact you to inform you of any refund and exchange procedures for the event. For exact instructions on any cancelled or postponed event, check the event website or contact us at inquiries@thechildrenofthesun.com

Orion Games Ltd. is not obligated to issue a refund should You be unable to attend an event of Ours for Your own reasons in the event that We can still go ahead and run the event; and to receive a refund or exchange that is offered, you must comply with Orion Games Ltd. instructions and deadlines.

Limitation of Liability

You expressly understand and agree that in no event shall Our Company or its employees, or our Website, including its affiliates and licensors, be liable for any damages whatsoever, including any direct, indirect, incidental, consequential, special or exemplary damages, and any damages for loss of profits, savings, goodwill or other intangible losses, regardless of whether We have been advised of or could have foreseen the possibility of such damages, arising out of or in connection with: (a) the use, inability to use or performance of any of the services of our Website of Company, or (b) any unauthorized access to or modification to any of your content or transmissions, or (c) any other matter relating to this site or any of the services.

Release of Liability

By purchasing a ticket, You acknowledge and agree to the following waiver:

In consideration of being permitted to participate in any way in activities or events run by Orion Games Ltd. or any of our partners, contractors or associates including, but not limited to, playing or otherwise using the premises, renting, and operating equipment whether rented from or sanctioned by Orion Games Ltd., I acknowledge and agree that I fully understand:

a) There are inherent risks and dangers in the use of props and equipment, participation in live action role-playing activities, and in active play in the venue and at the event.

b) My participation in such activities and/or use of such equipment, rented or otherwise, may result in injury or illness to me including but not limited to bruises, cuts, bodily injury, strains, fractures, partial and/or total paralysis, eye injury, blindness, heat stroke, heart attack, death or other ailments that could cause serious disability;

c) These risks and dangers may be caused by the negligence of the owners, employees, or agents of the Company; negligence on the part of other Participants or others present, accidents, breaches of contract of safety rules, forces of nature or other causes; and

d) By my participation in these activities and/or use of equipment, rented or otherwise, I hereby assume all risks and dangers and all responsibility for any losses and/or damages, whether caused in whole or in part by the negligence or other conduct of the owners, agents, officers, employees, or by any other person

I, on behalf of myself, my personal representatives and my heirs, hereby voluntarily agree to release, waive, discharge, hold harmless, defend and indemnify Orion Games Ltd. and its owners, agents, officers, employees, associates, contractors and landlord from any and all claims, actions or losses for bodily injury, property damage, wrongful death, loss of services or otherwise which may arise out of my use of equipment or my participation in live action role-playing activities. I specifically understand that I am releasing, discharging and waiving any claims or actions that I may have presently or in the future, for any acts or other conduct by the owners, agents, officers or employees of Orion Games Ltd., including negligence.

Orion Games Ltd. gathers limited personal data through ticket sales transactions, feedback forms and other voluntarily submitted information. We may use this data to:

  • Inform you of changes or other announcements related to the events you are have or will participate in;

  • To handle customer service issues or community issues, such as mediation of policy violations;

We reserve the right of entry to our events, and the right to refuse entry to our online platforms without notice.

Missing belongings

Let us know as soon as you realise you’ve left something behind. We will do all we can to find it, although we are not liable if this is not possible or if it is damaged. If we find it we will try to return it to you, but you will have to cover the postage costs.

Copyright

You can’t copy anything off our website (even photos, most of them are purchased stock or photographs of our friends or players of previous events) or the material provided to you in your personal player brief without our written permission. Nothing in Our agreement gives You or the people who come with you any rights over Our intellectual property or the property of Paradox Interactive AB. And you promise that you won’t acquire any rights to any of our intellectual property. The Participant is not the scenario’s or event’s co-author in the legal sense.

Views Expressed Disclaimer

Our events or services including our online platforms may contain views and opinions which are those of the authors and do not necessarily reflect the official policy or position of any other author, agency, organization, employer or company, including the Company.

Comments published by users are their sole responsibility and the users will take full responsibility, liability and blame for any libel or litigation that results from something written in or as a direct result of something written in a comment.
